Rooms are reserved in half-day blocks, allowing flexibility to accommodate your schedule and maximize engagement during key conference times. Booking access is offered on a tiered (see below) and first-come, first-reserved basis.

You must be confirmed as a 2026 sponsor, exhibitor or ACA Associate Member to participate. Please confrim by reviewing the lists below. 

 

Time Slots:

  • Morning: 8:00 AM – 12:00 PM
  • Afternoon: 1:00 PM – 5:00 PM
  • Full Day: Combination of morning and afternoon slots (maximum of 2 days)
  • All Access: Monday–Wednesday, 8:00 AM – 5:00 PM

What’s New This Year:

  • Increased Room Spacing: Meeting rooms are now spaced a minimum of 16 feet apart (previously ~10 feet), reducing sound transfer between rooms.
  • Sound Mitigation Measures: White noise machines will be in place to help minimize audio carryover and improve privacy.
  • Improved Room Construction: Reinforcing elements have been moved to the exterior of the rooms, creating a cleaner interior layout and improving acoustics and usability.

Important Considerations:

  • Rooms are constructed using modular panels (walls and doors without ceilings). Fully enclosed structures are not feasible due to venue (fire marshal) and ventilation restrictions.
  • While the enhancements above are designed to significantly improve the experience, some ambient noise may still be present.

 

Location & Accessibility:

  • Located on the 3rd Floor and positioned near breakout rooms with typically moderate foot traffic
  • Less than a 2-minute walk from the Exhibit Hall

We’ve made these updates specifically in direct response to last year’s feedback and are committed to continuing improvements each year. These meeting rooms remain a valuable opportunity for private discussions, client meetings, and small-group engagement during the conference.

 

NOTE: Providing meeting rooms at the conference is a significant investment, as they must be constructed specifically for the event. While we understand that schedules may change, please note that the meeting room slot rental cost is non-refundable. The cancellation policy is outlined below at the bottom of the page for your reference.
